Overview

Making time entries using Timesheet is very easy and intuitive. The main advantage of adding time in Timesheet mode is that you can do time entries for the whole working week at once.

Auto Save

MyPay has an auto-save feature, so whilst entering time all changes will be auto-saved - there is no save button. You only have to Submit for Approval once all time is entered for a period. 

Completing Timesheet

Make sure to fill in all required fields marked with a red asterisk *

  1. On the left menu bar, choose: Time & Allowance  Time & Allowance Entry
  2. Switch to the Timesheet mode
  3. Choose a working week
  4. Fill in hours for individual working days
  5. Fill in the rest of the fields based on your organisation's Time Configuration

Submitting Timesheet

After finishing time entries for the whole week, do not forget to Submit the timesheet.

Start/End on period entry feature

If there is enabled the Start/End on period entry feature in your organisation's Time Configuration, a pop-up box will appear when you click the field. 

U can use either a mouse or keyboard to select desired time periods.

  1. Click on the field for the corresponding day
  2. Enter the Start, End and Break times
  3. Click OK button
  4. The system will populate the duration field automatically
    When confirming a value use either 'Ok' button or Enter key

Shifts feature

Shift feature automatically populates Start, End and Break fields. This feature works only in Timesheet mode and when Start/End on period entry feature enabled.

If there are configured shifts in your organisation's Shifts Configuration, a pop-up box will appear when you click the field for the corresponding day. You can then quickly pick a predefined shift instead of filling out individual inputs. 

  1. Click the field for the corresponding day
  2. Click the Shifts button
  3. Choose a desired shift
  4. The system will automatically populate the Start, End and Break fields

Customer/Project/Task filtering options

There are following options how to search/filter within the Customer / Project / Task / Case field.

  1. type prefix 
    cus: , pro: , task: or case: to filter only records related to specific customers, projects, tasks or cases
  2. insert double quotes " "
    around a phrase or keyword to get the exact match
  3. combine both above
     cus: "Customer name" or task: "Task name"

Adding Allowance

  1. Click the three dots '...' button at the end of the line
  2. Click the Add Allowance button
  3. Fill in all required fields

Modifying Timesheet

Employees are able to modify any Timesheet, including time entries and allowances, even if they have already been submitted. However, Timesheets that have already been approved or declined cannot be modified. MyPay automatically saves changes after each modification is made.

You can perform the following actions:

  1. modify values
  2. add new values / rows
  3. Individually delete values / rows
  4. bulk delete all values


Modifying Timesheet with Award Time

If the fields are greyed out, check the 'See Award Time' and adjust time accordingly. 


Time Summary

From the Home Dashboard, users can view their Time Summary. 

  • Open Time - Time that has been entered but not Submitted for approval 

  • Pending Time - Time submitted for approval, but not yet approved. 

From this portlet, you can click on the list icon and you will be directed to the Time Entry screen where you can either complete your entry and Submit for approval, or view the time entries pending approval.
