Import YTD Data
When migrating from an existing Payroll system then you may need to import existing data. The best way of doing this is by importing Year To Date (YTD) Data.
At a minimum, YTD data must include Salary/Wages, Tax and Superannuation. If the employee had other Allowances and Deductions, then these will also need to be entered.
This means you will need to repeat the steps below for each type.
To import YTD data, follow these steps:
- While in View mode, navigate to the Employee record > Payroll tab > Payslip Detail sub tab
- Click on New Payslip YTD DetailĀ and populate the fields accordingly:
- TypeĀ - select the pay component type. E.g. Salary or Wages, Superannuation, Tax etc
- Sub TypeĀ - select the pay component sub type. E.g. Base Salary or Normal Time, Employer Super or PAYG
- DescriptionĀ - Defaults from the sub type
- AmountĀ - enter the amount
- Tax Year EndingĀ - select the correct tax year, e.g. 2019 = July 2018-June 2019
- OTE & OTE Amount - will default if applicable on subtype
- Payee - Will be mandatory for PAYG & Super and will then also prompt you to enter Balance Sheet Account
- Payslip GroupĀ - will default from sub type
- YTD import - tick this box if this YTD is part of an import of YTD data and is not connected to a payslip or a Pay Run
- Payment Summary LocationĀ - will default from sub type however this should be changed if it is not correct for your purposes
- Reportable DateĀ - select reportable date - NB if you have been reporting via STP in a previous system then this date should be the pay date of the last pay run you ran in your old system
- Tax Rate - leave blank
- MemoĀ - enter a memo if desired
- Start DateĀ - select start date (of last pay run in old system if applicable)
- End DateĀ - select end date (of last pay run in old system if applicable)
- ETP CodeĀ - leave blank unless this is an ETP payslip detail

3.Ā Ā Ā Ā Other
Most fields in this section should be left as is other than Company Branch (AU)
Company Branch AU)Ā If you have previously been reporting STP via another payroll system then this field must be cleared and left blank or you will report this information to the ATO again resulting in a double up of data.Ā
if you are reporting for the first time then this field needs to be populated in order to pick up all data.
Ā Ā Ā Ā 4. Click onĀ Save and repeat steps for the other types.
If you haven't already, you should also include allowances, deductions or break up Salary/Wage into normal time/overtime if you wish.
