Leave Configuration

Leave Wizard Introduction

NB: Always use the "cancel" button if you wish to Navigate away from Leave wizard without completing. If page freezes or gets stuck, try using the "back" button although it is recommended to cancel and restart the wizard.

1. Navigate to Payroll Administration>Payroll Setup>Leave Wizard

2. If using a One-World/Multi-Sub, select the Subsidiary you wish to configure from the drop-down list

2a. Or, for a Single entity click the "Next" button

Basic

  1. The 'Available Leave Calculation' can be set to either include or exclude future leave when an employee requests leave
    1. The recommendation is to use Deduct Future Leave for the most accurate calculation of available leave
  2. 'Suppress email alerts' is used when testing to prevent email notifications being sent to the employees
  3. Any personal leave request equal or more than the number set in 'Medical Certificate Mandatory Days' will require a medical certificate. Set to 0 if you do not with to enforce this rule

Advanced

Leave accrual rates determine employee entitlements.

  1. If 'Enable Global Company View' is ticked, a custom dashboard portlet will be available on your NetSuite account to see a consolidated employee leave calendar
    1. The calendar can be restricted to show only certain leave types to the wider organisation
    2. A custom search is used to restrict what employees are visible, e.g. people in your department, subsidiary, etc. Searches beginning with "PR-Global" are provided as standard.
    3. Any roles specified as 'Full View roles' are not affected by the leave type restrictions, and will see all available leave types in the leave calendar
  2. 'Approval forecasting' enables a Leave Approver to be able to check how much leave an employee will have accrued by a certain date, and is useful for approvals
  3. If a leave request approval goes to an approver already on leave, the 'Approval Routing' function will push the approval request to the approver's own leave approver. The 'Leave management approver' is typically set to the highest possible approver.
  4. 'Request Reverse/Adjust' allows the payroll administrator to make changes to a leave request after one or more of the leave request time records have been processed by a Pay Run
  5. Click "Next" when done

Employees

This page allows you to set an employee's Leave Approver and default Working Week for Leave Requests.

Each employee is displayed on a row with:

  1. Employee Name
  2. Payroll Status : Payroll Employment Status from Payroll tab of employee record
  3. Supervisor : Standard NetSuite Supervisor
  4. Pay from NetSuite Time/Timesheet: Indicates employee is paid off timesheets only rather than standard working week or base salary. No timesheet-No Pay. Generally used for casual employees.
  5. Accrue Leave from Timesheet: Used for part time or casual employees whose normal hours vary each period so accruals are pro-rated automatically.
  6. Leave Approver: Select the Employee who approves the employees leave. NB: DO NOT create "mutual approvers" or set the employee as their "own" approver as this will create an error when building hierarchy for calendar view.
  7. Ordinary Hours Per Week : Info only from Employee record
  8. Leave request Working Week Record: Sets employee work pattern. Use defaults or create new unique records for employees that have a different working week.
    1. NB: For unusual work patterns use a name that is unique to that employee or clearly communicates the work pattern.
    2. If no set weekly pattern, tick "rostered" and enter maximum daily hours in any of the day fields.
  9. Click "Next" when done

Leave Accrual Rates

Leave accrual rates determine employee entitlements.

  1. Select if the Leave type is available to the employee immediately ("As accrued") or based off anniversaries ("As Anniversary")
  2. Enter the maximum negative amount in days for the Leave types. This will be enforced in Employee Centre or Self-Service but can be overridden by Payroll or HR or Admin.
  3. Click "Next" when done

Leave Types

This screen shows active leave types and allows you to specify where they appear or if available.

  1. Available as Leave?: Check this box to make this leave type available to be used in Leave Requests. NB: Some default types may relate to NZ or UK, If not used-un-tick.
  2. Shown in Time Entry: Any Leave types in use must also be shown in time entry in order to be properly processed in Payroll. If not used you can un-tick for that type.
  3. Show in ESS? : When ticked this box will determine which leave types appear in the dropdown list for employees to select when requesting leave. Show in Employee Self Service to allow employees to electronically request this leave type. You may wish to have some leave types available when needed but excluded from employee electronic request. An example might be Government Parental Leave which has additional requirements that the Employees normal approver may not have access to.
  4. Click "Next" when done

ESS (Employee Self Service)

  1. Online: Tick this box to make Leave management visible in Employee Centre.
  2. Allow Create or Approval or Both as required.
  3. Override Users. If ESS is "offline" or still in testing, select users here to allow access for testing
  4. If required use upcoming and maintenance messages to let your employees know when Leave Management will be unavailable.
  5. Click "Next" when done.

Confirmation

Review settings and click "Finish" if complete, or "Back" to make changes.

Wait for the page to complete; green ticks indicate a successful configuration.
