Overview

MyPay provides has a single interface to enter user-friendly interface that allows for easy entry of Time and Allowances. The following documentation pertains to entering these This guide is specifically for users entering data on a larger device such as like an iPad on or desktop computer. On , while the interface on a smaller device such as , like a mobile phone, the interface will be optimised optimized for that screen size.

MyPay has an auto-save feature, so whilst entering time all changes will be auto-saved - there is no save button. You only have to Submit for Approval once all time is entered for a period.

Completing a Timesheet

Navigate to 

Completing time entries using the standard Duration field

  1. On the left menu bar, choose: Time & Allowance >   Time & Allowance Entry

  2. Switch to the List View entry mode
  3. Choose a working week
  4. Choose a working date and fill duration
  5. Fill in the rest of the fields based on your organisation's Time Configuration

    Enter Time in the relevant per-day fieldsIf your Time Configuration preference is set to Start and End times for time entry
  6. Make sure to fill in all required fields marked with a red asterisk *

Completing time entries using the Start/End on period entry feature

If there is enabled the Start/End on period entry feature in your organisation's Time Configuration, a pop-up box will appear when you click the field.

  1. Enter the Start, End and Break time then press Enter times
  2. The system will populate the hours automatically.Depending on you configuration you may also need to enter some of the following:
  3. A Customer/Project/Task 
  4. A Description for the time entered
  5. More Fields which by default include (field order could differ based on your company config):
    1. If the time Is Billable
    2. The relevant Pay Item
    3. A Service Item
  6. Any duration field automatically
    When confirming a value use either 'Ok' button or Enter key

Another fields used on Timesheet 

If there are enabled another specific fields in your organisation's Time Configuration you may also need to fill them in correctly.

  1. Memo (description) - this field is used for entering a description for the time entered
  2. Pay Item
  3. Tags - these are account specific and customisable
  4. Customer/Project/Task/Case
  5. Service Item
  6. Is Billable - This checkbox determines whether the the time entered can be billed. For using it Service Item & Customer/Project/Task/Case fields must be populated.

Adding Allowance

  1. Use the box at the end of the line to Add Allowance lines
  2. To enter another row of time just click in the blank row below
  3. Remember, any details you entered will be auto-saved


Customer/Project/Task filtering options

There are following options how to search/filter within the Customer / Project / Task / Case Field:
- type prefix cus: , pro: , task: , case: to filter only records related to specific customers, projects, tasks or cases
- insert double quotes around a phrase or keyword to get the exact match
- combine both above

example:
pro: "project xy" task:"my task"


Delete or Modify Timesheets

Prior to Submit for approval, use the 'X' on the right-hand side of the timesheet line to delete any time entered. 

If the fields are greyed out, check the 'See Award Time' and adjust time accordingly. 


Time Summary

From the Home Dashboard, users can view their Time Summary. 

  • Open Time - Time that has been entered but not Submitted for approval 

  • Pending Time - Time submitted for approval, but not yet approved. 

From this portlet, you can click on the list icon and you will be directed to the Time Entry screen where you can either complete your entry and Submit for approval, or view the time entries pending approval.
